Location: Remote (ideally in the NL, BE, PL, CZ - applications from other European countries may be considered)
Hours: 40h per week (1.0 FTE) or as agreed

Role Summary
ProVeg International is a growing network operating across four continents (Belgium, Brazil, China, Czech Republic, Germany, Malaysia, the Netherlands, Nigeria, Poland, Portugal, South Africa, Spain, the UK, and the US) working towards a common mission and vision. The International Operations department ensures that all ProVeg activities are well-planned, aligned & impactful.
As the Global Expansion & Operations Manager, you will be the primary driver of our organisation's expansion efforts and a key partner to the Deputy CEO and Senior Leadership Team. You'll lead the establishment of new country offices, ensuring they are compliant, integrated and fully operational within ProVeg’s international framework.
You will also play a crucial role in ensuring the ongoing alignment, efficiency, and effectiveness of our existing country operations. Your initiatives will ensure that ProVeg's international network is not only growing but is also operating with maximum impact and synergy.
Responsibilities
International Growth & Country Onboarding
Explore and develop diverse models for international expansion, helping the Deputy CEO and Senior Leadership Team establish a clear strategy for organizational growth
Lead the full lifecycle of setting up newly approved country offices. This includes:
Coordinating with the International Legal team to ensure robust registration and local compliance
Establishing bank accounts, financial reporting and admin systems in coordination with the International Finance team
Setting up initial HR structures and recruitment frameworks with the International People & Culture team
Guide new country teams through their first 12 months, providing the support needed to ensure they are fully integrated, culturally aligned and in contact with key internal strategic roles
Executive Support & Internationalization
Support the Deputy CEO on time-sensitive expansion projects, ranging from rapid market-entry research to identifying key local stakeholders and regulatory hurdles
Prepare high-impact slide decks and briefing papers for International Strategy sessions, Board of Directors pitches, and International Strategy and Learning Days
Synthesize complex operational data into clear, actionable insights for executive decision-making
Optimize process efficiency by supporting the International Operations department in building automation flows and integrating (AI) tools into existing country processes
Internal Alignment and Coordination
Provide continuous operational support to both new and established offices, offering advice on organizational development and unblocking local bottlenecks
Proactively identify emerging risks (political, financial, or legal)
Ensure new country offices are in direct contact with key global roles (Global Strategy Director, Chief of Staff, Head of Development and Programme Leads) to prevent operational silos
Competencies & person specification
Required:
relevant experience in international operations, ideally within a mid-size INGO or a fast-scaling global startup
Bachelor’s degree in International Relations, Law, Business Administration, or Public Administration (or similar)
Project management skills and tools (e.g. Wrike, Asana,..)
English language skills C1/C2
Advanced skills in building slides (e.g. Powerpoint, GSlides,..)
AI literacy preferably with Gemini, ChatGTP, NotebookLM
Preferred
Experience in building automation flows, integration of different software to optimize process efficiency
You can pivot from a high-level strategy meeting to a deep-dive troubleshooting session without losing momentum
You can navigate complex internal hierarchies and build trust with diverse stakeholders, from the Deputy CEO to a local operations assistant
You are highly organized and are able to manage multiple complex country challenges simultaneously across time zones
You can manage internal stakeholders and "gatekeep" for the Deputy CEO while remaining approachable to country teams.
You thrive in areas where processes aren't yet defined
You can navigate internal politics with grace. You can advocate for global standards while remaining empathetic to local country contexts.
You have integrity, and are resourceful and collaborative
You don’t mind initiating, completing or where possible, delegating, regular "nitty-gritty" tasks such as bank forms or local regulations; you see them as the essential foundation for impact
