Software & AI Solutions Specialist
Role Description:
Are you interested in software and AI applications and want to work for a global NGO? As a Software & AI Solutions Specialist, you will help ensure that our approximately 250 colleagues around the world have access to the best software and AI solutions and are able to use them efficiently and securely.
You will help decide which software we select and how it is used, maintain an overview of our diverse international software landscape, and ensure that IT security and compliance remain a priority. You will become a key member of our ten-person IT team and work closely with our two Software Specialists.
This role is not about software development. Instead, it focuses on a wide range of responsibilities related to existing off-the-shelf software, primarily cloud-based solutions. While basic software development knowledge is an advantage, it is not a core requirement of the position.

Responsibilites:
Market and Technology Monitoring: Stay up to date with the latest trends, developments, and best practices in software and artificial intelligence, and evaluate their potential use at ProVeg.
Knowledge Sharing: Ensure that all colleagues have a solid understanding of the capabilities, limitations, and risks of our software and AI applications, while following our guidelines and recommendations. Develop online courses, workshops, and wiki documentation to support this.
Subject Matter Expert: Enable individual teams to make the best use of our software (including AI features) for their specific use cases. Advise leadership teams and the works council on opportunities and risks.
Managing the Software and AI Landscape: Maintain an overview of the software and AI solutions used across ProVeg, as well as the key projects our international teams are implementing with them.
Software Support and Administration: Configure and administer several of our central software solutions, and provide practical support to colleagues in using them.
Workflow Automation: Use no-code and low-code platforms to implement rule-based, AI-powered, or agentic workflow automations that help teams work more efficiently.
Software Selection and Implementation: Identify the best AI and software solutions for a wide range of use cases and collaborate with relevant departments to ensure smooth implementation and integration with existing systems.
Shaping the Future: Help shape the ongoing development of our software and AI strategy, roadmap, and policies so we can make the best use of emerging technologies while using our resources efficiently.
IT Security and Data Protection; Work closely with our internal data protection coordinator to minimize risks and ensure compliance, with a strong focus on IT security and data privacy.
Qualifications:
Required Qualifications:
A completed degree (e.g., Master's in Computer Science, Information Management, Digital Media, or a related field), or an equivalent qualification through IT training or professional certification (e.g., IT specialist), plus at least four years of professional experience.
A strong affinity for software and the ability to quickly learn new software solutions.
A solid understanding of artificial intelligence and experience using various AI applications.
Excellent written and spoken English.
A structured, pragmatic approach to work.
A willingness to continuously learn and improve processes.
A genuine commitment to ProVeg's mission and values.
Nice to Have:
Experience with software training, documentation, or user support.
Project management experience.
Experience implementing process automations using no-code/low-code platforms such as Make.
Experience with CRM systems such as HubSpot.
Good written and spoken German.
Basic knowledge of software development and integrations (REST APIs).
Basic understanding of IT security and data protection.
