Role Summary
ProVeg Poland is part of a global food awareness organisation working to transform the global food system by replacing animal-based products with plant-based and cultivated alternatives.
In Poland, our flagship program "Szkoła na Roślinach" (Plant-Powered Schools) works to improve the quality and sustainability of school nutrition. We support schools, kindergartens, and caterers in introducing healthy and tasty plant-based meals. With the upcoming Ministry of Health (MZ) regulations requiring one mandatory plant-based meal per week starting September 2026, our mission now combines strategic advocacy with hands-on implementation. We continue to represent the plant-based movement at a policy level while providing the practical tools, recipes, and training necessary to ensure this transition is a success for students, catering staff, and the environment.
We are looking for an energetic and proactive Program Outreach Coordinator. You will be the face of ProVeg PL in the field, acting as a vital link between new government regulations and school kitchens.
Your goal is to ensure that schools feel confident and inspired as they prepare for the 2026 standards. We need a "mover and shaker"- someone with a sales, fundraising, or relationship-building mindset who is comfortable picking up the phone, sometimes visiting schools in person, and showing stakeholders that they don't have to navigate this change alone. You will demonstrate how our support, training, and resources make this transformation a positive experience for everyone involved.

Salary: 8500 PLN gross

Key Responsibilities
Proactive School Engagement: Reach out to school caterers, directors, and administrators to introduce them to the "Szkoła na Roślinach" program and our support tools.
Relationship Management: Act as a dedicated partner for schools, identifying their specific needs and showing them how our training and recipes can simplify their daily operations.
On-the-ground Presence: Travel to schools and educational events across Poland to present our program and build trust within the local community.
Supportive Advisory: Provide constructive, expert advice to help catering teams meet the new MZ requirements with ease.
CRM & Project Tracking: Maintain high-quality data in HubSpot. While this is a field-heavy role, diligent documentation of your interactions and progress is essential for our success.
Collaboration: Work closely with the Program Manager to align field insights with our overall strategy and use AI tools to stay efficient.
Content Gathering & PR Support: Act as the "eyes and ears" of ProVeg on the ground. Proactively collect success stories, testimonials from school staff, and field photos to provide engaging raw material for our Communications Manager.
Public Representation: Represent ProVeg PL with a positive, solutions-oriented disposition in meetings, calls, and public presentations.
Logistics & Event Coordination: Manage the practical details of our school interventions. This includes coordinating the distribution of educational materials, toolkits, and organizing the logistics for culinary workshops or in-school training sessions.
Requirements:
Relationship Building: You have demonstrated professional experience in sales, fundraising, or community engagement (preferable schools or educational institutions). You know how to build rapport quickly and turn a conversation into a long-term partnership and get people to take action.
Effective Communication: You excel at translating complex regulations into practical, everyday language. You are as comfortable discussing nutrition with a school director as you are talking about recipes with a kitchen lead.
Proactiveness & Independence: You don't wait for a to-do list - when you see an opportunity to help a school, you take it. You are comfortable managing your own travel schedule and working remotely.
Events & Logistics Coordination: You are highly capable of managing the practical side of projects - from coordinating the delivery of toolkits to overseeing the logistics of on-site culinary workshops.
Creative Eye for Content: You can identify a good story when you see one. You are comfortable taking high-quality field photos and gathering testimonials that our communications team can turn into engaging content.
Self-Organisation & Tech-Savviness: You have strong project-tracking skills and are disciplined about using G-drive, Wrike, Hubspot and AI tools to keep your work transparent and efficient.
Resilience & Supportiveness: You thrive on challenges and can think on your feet. You approach every school with a positive, solutions-oriented disposition, showing them that this transition is achievable.
Mobility: You are ready and willing to travel occasionally (2-3 per quarter) to visit our partners across the region.
English Proficiency: You are perfectly comfortable communicating in English. As ProVeg is a global organisation, you will need to participate in international meetings, use English-language materials, and collaborate with colleagues from around the world.
