You are the operational anchor of our international People & Culture function during a transformative period of growth. Your primary mission is to lead the hands-on implementation of our global people systems, specifically owning the rollout and optimisation of our partnership with Deel. As we transition our European Regional Office to the Netherlands, you will play a vital role in establishing the P&C framework for this new legal entity, ensuring we remain compliant, reliable, and united across borders. You thrive on turning strategic plans into daily operational reality, bridging the gap between global architecture and administrative excellence.

Salary: depending on location and experience, e.g. €44,000 - 48,000 in Germany, zł 120,000 - 150,000 in Poland (full-time equivalent).
Location: Remote. We welcome candidates globally who hold permanent residency and can adhere to a working schedule that includes core collaboration hours of 10 am - 4 pm CET.
Responsibilities
Operational Excellence & Deel Integration
Lead the Deel Rollout: You own the end-to-end implementation of the Deel platform across international entities, managing the phased rollout and ensuring "Client Readiness" for go-live dates.
Netherlands Transition: You support the setup of the Dutch legal entity from a P&C perspective and ensure local compliance.
Global Compliance Monitor: You ensure our employment frameworks via our international or the different local entities remain fully compliant with international labour laws, proactively identifying and mitigating legal risks.
Stakeholder Management: You are the direct contact for Deel, Personio and other partners such as local lawyers.
Process Automation & System Efficiencies: You constantly look for ways to augment our existing software ecosystem (Deel, Personio, Leapsome) by setting up AI-assisted workflows supported by our IT department, automating routine communications, and optimising data retrieval for workforce metrics.
Process Design: Owning and further developing our global on- and offboarding processes and core P&C policies that our local champions can implement.
Strategic Tool Owner (Deel and Personio): You are the strategic owner of Deel and Personio. Your job isn't user support; it's ensuring both tools enable all ProVeg teams to operate within an empowered, scalable, automated self-service ecosystem.
Administration
Primary P&C Contact: You provide full administration for our international teams, managing contracts, payroll preparation, and day-to-day relations.
Employee Relations: Manage day-to-day employee relations, performance management, and personal development queries for the international team.
AI-Driven Documentation & Knowledge Management: You actively use generative AI tools to draft, structure, and update internal P&C handbooks, policy templates, and standard operating procedures (SOPs), drastically reducing the time required to create cross-border legal documentation.
Reliable Documentation: You ensure all employee files, internal handbooks, and P&C policies are maintained with the highest degree of accuracy and transparency.
Competencies
You bring extensive experience in People Operations, HR Generalist, or International HR roles.
You have a Bachelor’s degree in Business Administration, Human Resources Management, International Relations, Business Law, or a degree in the humanities, social sciences, or psychology.
You prefer "doing" over "theorising" and have a proven track record of rolling out global payroll or HRIS systems (ideally Deel).
You are an AI-literate executor who views artificial intelligence as an essential assistant for day-to-day productivity, while maintaining a sophisticated understanding of the ethical and legal limitations, using it to rapidly synthesise complex labour data, draft correspondence, and clean up messy administrative inputs.
You possess a solid understanding of international labour law (specifically in Germany, the UK, or the Netherlands) and are committed to data integrity.
You are fluent in English (our working language).
You are an advanced, platform-certified or highly experienced administrator of cloud-based HR tech, bringing deep functional mastery of tools like Personio, Leapsome, and global payroll platforms.
You are an inherently meticulous person who naturally double-checks legal text, contract variations, and compliance data to guarantee an entirely error-free administrative environment.
You are a systems-oriented operator who derives genuine professional energy from structural organisation, turning manual or fragmented workflows into clean, automated processes.
You function as an empathetic systems-thinker, meaning you always design digital touchpoints, text, and data-gathering workflows around the human experience of the employee.
You have a high degree of emotional intelligence and professional maturity, allowing you to establish immediate trust with country directors and team members alike.
You maintain an uncompromising standard of confidentiality, discretion, and professional boundaries when handling sensitive personnel matters and legal documentation.
You bring strong alignment with and passion for ProVeg’s mission and vision.
Preferred
You bring a strong background of working successfully within a fast-growing international entity, a distributed global team, or a professionalised NGO environment.
You speak German or Dutch at a professional level, giving you the linguistic confidence to interface directly with local European authorities, local legal advisors, and regional entity registries.
Experience with Dutch Works Councils (OR)
